CHECKLIST

We would like to draw your attention once again to the fact that if you have only booked an exhibition area, all additional services must be booked via the Messe Zürich tool.

We have prepared a checklist for you below showing all the deadlines. Should you require further assistance from us, we will be happy to help.

Vehicles in the exhibition hall important!

If you have a vehicle at your stand during your trade fair appearance (e.g. coffee mobile), we need some information in advance in order to guarantee a smooth process. This only applies to vehicles that remain in the hall during the HR FESTIVAL europe. (this does not apply to delivery/collection) In this case, please contact us via info@hrfestival.ch.

Promotional activities important!

You will of course have the opportunity to distribute samples, flyers etc. to interested customers at your stand. If you would like to have an additional presence in the hall or near the entrance and exit area, attractive sponsorship opportunities are available to you. Please contact us to find out more.

Please note that it is not permitted to carry out promotional activities (e.g. distributing flyers, samples, etc.) outside your stand without the appropriate authorisation.

Where does the HR FESTIVAL europe take place and how do I get there?

Train / Tram / Bus
Travellers from Zurich Main Station have various connections by train, tram or bus to Oerlikon station, or directly to the stop “Messe Zürich”. From Oerlikon station, Messe Zürich is just a few minutes’ walk away.

Car
When taking the motorway from Basel, Bern, Chur, Lucerne and St. Gallen, follow the “Z” sign to the Zurich Exhibition Center. Parking spaces are available in the Messe Zürich parking garage on Hagenholzstrasse.

We kindly ask exhibitors with a lounge or all-inclusive stand (Classic, Premium and Start-up) not to arrive at their stand at Messe Zürich before approx. 3 p.m. on Monday, March 25, as our stand builder Formfoundation will be setting up the stands throughout the day.

If you have any questions about the HR FESTIVAL europe, you can contact the exhibition office at any time. During the event, we will also be available at our HR FESTIVAL europe stand B31 in Hall 3.

TICKET INFORMATION

EXHIBITOR TICKETS

The free exhibitor tickets for you and your employees can be obtained here.

Depending on the size of your booth, you will also receive the following number of free tickets for the BREAK THE NORM party on the evening of 26 March:

  • Start-up booths, lounges and booths up to 12m² → 2 free tickets
  • Booths of 16m² and 20m² → 4 free tickets
  • Booths of 24m² and larger → 6 free tickets

IMPORTANT: You will receive a personal discount code by e-mail to obtain the free tickets for the party. This code is limited per company and not per person. Additional tickets can be booked at the price of CHF 60.00. If you have not received a discount code, please contact us at info@hrfestival.ch.

PERSONAL CODE FOR YOUR CLIENTS

From this year, admission will be subject to a charge for visitors (two-day pass CHF 69.00 / person), but access will remain free of charge for your valued customers! As an exhibitor, you receive a personal code with which you can invite your customers to the HR FESTIVAL europe free of charge.

Your personal exhibitor code

  • At the beginning of December, a personal code was sent to all HR FESTIVAL europe exhibitors by e-mail. If you have not received a code, or if you have any questions, please contact us at info@hrfestival.ch.
  • Send this code to your customers and partners and give them free admission to the HR FESTIVAL europe for both days.
  • This code is valid up to and including 27 March 2024. The code can be redeemed indefinitely and does not incur any additional costs for you

Please note that admission to the BREAK THE NORM Networking Party is not included. We have also provided a variant for this (see Premium Exhibitor Code).

Price details for visitors without an exhibitor code:

  • Admission HR FESTIVAL Standard (two-day pass) CHF 69.00 / person
  • Admission HR FESTIVAL incl. party (package) CHF 99.00 / person (value CHF 129.00 / person)

Premium exhibitor code

Thank your best customers for their valuable cooperation and invite them to the BREAK THE NORM party on 26 March 2024. Networking, culinary treats and an excellent atmosphere with musical highlights will be on the agenda!

Send us an e-mail to info@hrfestival.ch and order the number of premium exhibitor codes you require. The cost is CHF 60.00 / party entry.


INFORMATION KICK-BACK

It is also beneficial for you to invite as many customers and HR professionals as possible! For every 100 trade visitors who have checked in with your code, we will reimburse you CHF 1,000.00 in the following year.

SCAN2LEAD

As in previous years, you can use Scan2Lead to digitally record your contacts at the booth during the HR FESTIVAL europe at the touch of a button.

You can supplement the data with additional information and retrieve and export it via your personal online portal. With Scan2Lead, you benefit in particular from faster follow-up of the event, as you can access the full visitor data in real time and in digital form for direct and automated further processing.

Licences for the Scan2Lead software are available from CHF 229.00 per licence (for one device).

Maximise your presence at the HR FESTIVAL with our social media kit!
Use our prepared posts to draw attention to your participation and increase your visibility on social media. The posts can be personalised as you wish and your personal discount code can be added. In our download area you will find a publication schedule as well as the corresponding images, gifs and texts.


ADDITIONAL SERVICES

Exhibition area (without stand)

If you have booked the exhibition area only, all other services (e.g. additional power connections, internet cable, water connections, stand cleaning, etc.) must be booked additionally via the Messe Zürich tool.

All Inclusive Stands

Exhibitors who have booked all-inclusive stands (exception: 10m2 lounges) directly via HR Today will be contacted by our stand builder formfoundation in January 2024 to submit the print data for the graphic wall. Please send your documents from 05.02.2024 until 16.02.2024 at the latest to service@form-foundation.de with details of the fair, hall and stand number. The above stands also have a power connection (2.3 KW) included.

Services such as electricity, water, stand cleaning, etc.

  • Additional services (e.g. additional power connections, internet access (cable), water connections, stand cleaning, etc.) must be booked in advance via the Messe Zürich tool, if required.
  • Orders must be received by Messe Zürich 3 weeks before the first day of the exhibition. An express fee of CHF 150.00 will be charged by Messe Zurich for orders placed later.

WLAN

  • Messe Zürich offers a free WLAN service in the exhibition halls, which works via SMS login. The speed of 10 Mbps is designed for sending and receiving e-mails and surfing the web.
  • For faster access, you can purchase WLAN vouchers with a speed of 50 Mbps at the Service Centre. WLAN access costs CHF 15.00 per day for 2 devices or CHF 30.00 for 5 days, also for 2 devices.
  • If this is also not sufficient, an Internet connection must be ordered via the Messe Zürich order tool.

Stand catering

  • If you would like stand catering, you can book this until the 20th March directly via the Wassermann & Company webshop.

Additional furniture and screens

  • Additional furniture and screens can be ordered directly from our stand builder formfoundation here.

Flower bouquets

  • Flower bouquets and arrangements can be ordered from Fleurop. Please contact Jeannine Glanzmann (jeannine.glanzmann@fleurop.ch) for this. Enquiries/orders must be received at least one week before the event.
  • As an exhibitor at the HR FESTIVAL europe you benefit from a 10% discount

Stand personnel

  • If you need additional stand personnel, they can be booked directly with Coople.

POWER CONNECTIONS AT THE BOOTH

As mentioned above, one power connection (2.3KW) is included for all All Inclusive stands (Classic, Premium and Start-up) and for the lounges.

If you have only booked a stand space, no connection is included.

All additional connections required must be booked via the Messe Zürich tool.

We recommend in any case that you have a multiple socket strip at your stand. Exhibitors from abroad should also remember to bring an adapter if necessary.


INFORMATION PARKING TICKET

Registration for car park tickets is closed. Orders had to be placed by 23 February 2024 at the latest. If you have missed the order deadline, you can purchase your parking ticket directly from the machine in the car park.

Please note that the parking tickets purchased are a VOUCHER and not the exit ticket. You will receive the actual ticket on site at the exhibition centre office (show your voucher).

On Monday, parking tickets can be obtained between 15:00 and 17:00. On Tuesdays and Wednesdays, you can get them during the regular opening hours of the exhibition office.

Purchased car park tickets are binding and cannot be refunded!


INFORMATION ON MATERIAL DELIVERY MESSE ZURICH

Magazines and other materials such as giveaways, etc. can be sent to the exhibition forwarder Sempex in advance.

Shipments can only be accepted from 18 to 22 March 2024.

All deliveries must be sent via the parcel notification to the e-mail address exhibitions.zuerich@sempex.com at least 2 days before receipt of goods. If you have any questions, please contact Sempex on +41 (0) 58 307 77 60.

For warehouse shipments over 1m3 please contact Sempex via exhibitions.zuerich@sempex.com


LOGISTICS TOOL SEMPEX

At the beginning of March, all exhibitors received their personal access data from our handling operator Sempex. You can use this to book your time slots for set-up and dismantling in the corresponding logistics tool.

Procedure
On arrival at the trade fair checkpoint, the access pass must be presented for identification. The vehicle will then be authorised to drive to the exhibition hall at the booked time. Please inform your subcontractors (stand constructors, forwarding agents, suppliers, etc.) to have the deposit of CHF 100.00 ready in cash. The deposit will be refunded on departure, provided the time limit has not been exceeded.

IMPORTANT FOR EXHIBITORS WITH ALL-INCLUSIVE STANDS

  • All-inclusive stands and lounges do NOT need to book a time slot, as the set-up and dismantling of these stands is coordinated by our stand constructor
  • However, if you deliver materials yourself and therefore drive a vehicle to the delivery zone, you must also book a time slot, even if you have booked an all-inclusive stand!
  • If you only have a small amount of material and drive directly to the car park, you do not need to book a time slot.

OPENING HOURS CHECKROOM

During the event, a checkroom will be available in the basement where exhibitors and visitors can leave bags, jackets etc. free of charge. Please note that the checkroom is only open until 18:30 on Wednesday and all items must be collected by then.

There are also some lockers in the basement, which can be operated using a numerical code. (first come, first served)


VALUABLE ITEMS

Please note that the stands will not be guarded after the fair closes on 27 March. We therefore strongly recommend that you do not leave anything unattended on the stand. If you would like to watch the Swiss HR Award, ideally you should put away all valuables beforehand. We accept no liability for lost items.
